Recruiting for an Operations Director

We are looking for an Operations Director to work across all our activities and co-ordinate the safe and smooth running of our services with additional oversight and responsibility for our team of volunteers.

They will work 26 hours per week, Monday – Friday (mostly on-site with the possibility of working some hours off-site)

Flexible hours to support the demands of the Foodbank

Rate of Pay: £ 31,200 pro rata

Managerial Responsibilities:

  • Immediate task will be to create an Operations Management Team to consist of staff and volunteers responsible for the overall running of the Foodbank on a day-to day basis
  • Line Manager to the existing employees at the Foodbank
  • Formulation of future strategies and projects under the supervision of the Board of Trustees
  • Regular communications and coordination with the Board of Trustees
  • Effective implementation of all policies and procedures of the Foodbank, especially those relating to Health & Safety and Safeguarding

Volunteer Co-ordination:

  • Responsible for the recruitment, induction, and training of volunteers
  • Taking and following up enquiries from potential volunteers
  • Inducting and introducing volunteers to our teams
  • Using a tailor-made platform, run rotas of volunteers across our various activities
  • Co-ordinating and sharing news with volunteers
  • Co-ordinating training opportunities for volunteers
  • Help plan and run social events for volunteers

Specific Overall Duties are to Include:

  • Acting as the first point of information and enquiries be it by mail, email, telephone or in person and then being able to answer as appropriately or direct the enquires to the relevant person
  • Having the overall responsibility for the safe running of our operations across all premises, by means of ensuring safe working practices, safe equipment, and effective communication between teams
  • Representing Borehamwood Foodbank and its objectives to a high standard to the public, be it by means of answering enquires, accepting donations or promoting our activities

  Office Responsibilities:

  • Maintaining the efficient functioning of our offices, including buying of stationary and other materials as required.  Checking that all equipment is functioning correctly
  • Ensuring a high standard of cleanliness
  • Actively overseeing the implementation of the Borehamwood Foodbank Health and Safety Policies and risk assessments across all our activities
  • Reporting any issues that require repair or replacement relating to the premises. Agreeing a course of action and following it up
  • Assisting Treasurer with payments to vendors and other suppliers, petty cash and bank payments if required
  • Ensuring all necessary Foodbank documentations (e.g. registration and insurance certificates) are up-to-date
  • Coordination of information for regular publication on our website /crowdfunding /Facebook and other Social Media accounts

   Warehouse/ Distribution and Supplies:

  • Communicating and coordinating with existing and potential donor organisations (supermarkets, schools, faith groups, clubs etc.) regarding their donations and fund-raising activities
  • Sending timely ‘thank you’ messages to all those who donate
  • Liaising with the existing Foodbank Distribution and Stock Managers to ensure warehouses are stocked appropriately and act accordingly. Help with any external storage used.
  • Ensuring that the warehouses and outside grounds are kept clean and organized by holding responsibility for our waste disposal and garden management systems.
  • Welcome visitors and conduct tours when required

 General Activities:

  • Overseeing the organisation of special events, including family lunches and activity days and collections
  • Assisting the Chair and other Trustees in their communications with partner agencies
  • Attending external Trussell Trust meetings/ training sessions as required
  • Liaising with partners and other community groups as required
  • Filling in for colleagues as required

Key Skills and Personal Attributes:

  • Passionate about tackling food poverty
  • Non-judgmental and positive attitude towards clients in need
  • Strong communicator with clients and Foodbank staff/volunteers
  • Good interpersonal skills with the ability to supervise personnel
  • Strategic thinker with good organisational skills and problem solver
  • Management experience essential
  • Ability to identify and delegate tasks
  • Identifying individuals to complete tasks
  • Willingness to undertake any additional training when required
  • Proactive use of our Social Media platforms with proficient IT skills
